Guidance for Proposals Due Over Winter Closure 2023

In accordance with the University Winter Closure and scheduled Federal Holidays, Sponsored Projects Services (SPS) and the Office of Research Contracts (ORC) will be closed during the following dates in November 2023, December 2023 and January 2024:

  *   Thanksgiving Break: Thursday, November 23, 2023, and Friday, November 24, 2023

  *   Winter Closure: Friday, December 22nd, 2023, and reopen Tuesday, January 2nd, 2024

Please review the SPS/ORC schedule below to plan for sponsor required documents during the Winter Closure.

Please check with your individual college and department Research Administration for additional timeline requirements.

*If you would like proposals that are due January 3rd - 5th, 2024, submitted before Winter Closure, route to Preaward Services by Monday, December 18th, 2023 at 8a and include the request to submit prior to closure in the Notes section of the Attachments tab in UAccess Research.

Three-Day Deadline:

The Three-Day Deadline<https://rgw.arizona.edu/administration/proposal-submission#ThreeDayDeadline> is in place to ensure Preaward Services has adequate time to review and address any issues that might arise upon review of the proposal.  The three-day deadline requires three full business days before the sponsor deadline and the proposal must be in its final form; **final form is inclusive of the release of the corresponding electronic submission to the sponsor as well as any documentation that might require signature upon submission, as necessary.  Postaward authorized signatory submissions, including NIH RPPRs, adheres to the Three-Day Deadline as well so be sure to submit any necessary documentation with the Three-Day Deadline in mind.

Tips for successful routing:

  *   Communication with your research counterpart, whether it be a business manager/RA/accountant or Principal Investigators, if you will be out of the office and how to accommodate for assistance when they are out of the office.
  *   If an Investigator intends to be on travel status while their proposal is routing, please ensure the investigator does a test run for logging into UAccess Research and is ready for use during travel.
  *   If Co-Investigators or other Key Personnel are included in routing, please follow up with them to ensure that routing is not held up while the proposal waits for approval in their action list.
